The Role
We are not looking for someone to just run surveys. We are looking for someone to build the engine behind them. As our Data Operations Analyst, you will own survey execution end-to-end, ensuring quotas are met, timelines are protected, and quality is never compromised. You will sit at the intersection of data, vendors, product, and technology. This role is about optimisation, not maintenance. You will run feasibility assessments, negotiate with panel vendors, analyse fieldwork trends, and use AI to automate workflows and scale operations. If you are analytical, tech-savvy, and excited about improving systems in a fast-moving environment, this is your arena.
Your Mission
Your #1 Goal: Deliver high-quality survey fieldwork at scale while continuously improving the systems behind it.
Own the Fieldwork Engine
Execute and manage survey campaigns end-to-end. Hit quotas. Protect timelines. Safeguard quality. You are the reason projects run on time and clients stay confident.
Master Feasibility & Data Intelligence
Run smart feasibility assessments. Use data, panel availability, and historical trends to determine what is realistically achievable. Your insights prevent bad promises and protect margins.
Negotiate Like a Strategist
Work closely with panel vendors to secure competitive pricing, optimal feasibility, and fast turnaround times. You don’t just accept quotes. You optimise them.
Build Smarter Systems with AI
Experiment with AI tools and automation to streamline repetitive workflows, analyse fieldwork trends, and increase operational efficiency. If something is manual twice, you ask: can this be automated?
Bridge Teams Together
Collaborate with Customer Success and Business Development to align operations with client strategy. Partner with Engineering to flag bugs, test features, and improve platform reliability. You are the connective tissue between execution and innovation.
Be the Escalation Solver
Handle complex respondent issues with precision and empathy. When things get messy, you bring clarity and resolution.
Our Tech Stack
This is repetitive work, so it’s up to us to use technology to help automate and streamline it.
- Google Sheets/Excel: Adept at utilising Google Sheets and Excel with advanced capabilities to handle data analysis, reporting, and management tasks efficiently.
- AI & Automation Literacy: Comfortable using AI tools (e.g. ChatGPT, Claude, scripting assistants) to streamline workflows, generate insights from data, and improve operational efficiency.
- Vase.ai internal tools
The Requirements
- Analytical Mindset: Ability to spot patterns in fieldwork data, draw meaningful conclusions, and translate findings into clear recommendations for cross-functional teams.
- Negotiation & Vendor Management Skills: Confidence in communicating with external panel vendors to negotiate terms, pricing, and timelines that benefit project delivery.
- Resilience & Continuous Improvement: This role involves repetitive tasks, so you need to be resilient, stay focused, and proactively look for ways to improve and automate processes.
- Tech Stack: Being familiarized with our Tech Stack.
- Proficiency in English and Malay.
- Work Permit in Malaysia.
The Process
Even though Artificial Intelligence is something that we really love, when it comes to your application we are a bit old school. With that being said, we manually go over every CV and try to provide tailor made feedback (no ChatGPT). For the Operations Executive it will look like this:
- CV & Video Triage
- Technical Assessment (Online)
- 1st Interview - People & Operations (Online)
- 2nd Interview - Hiring Manager (Online)
- Final Interview- Founder Interview (Face to Face in Kuala Lumpur)
Onboarding
This will be your roadmap for the first 3 months. Although we’re a remote company, we believe face-to-face learning makes onboarding much smoother, so the first two weeks will be at our Kuala Lumpur co-working space (Co-labs the Starling Mall), followed by weekly in-person sessions.
1st Month
- Familiarise yourself with company processes, tools, and AI workflows used by the team
- Understand how we manage fieldwork for survey projects
- Complete practice fieldwork projects
- Shadow Yusri and the team while they are running fieldwork and vendor negotiations
2nd Month
- Understand how we run feasibility studies for projects
- Start independently managing fieldwork for projects
- Begin using AI tools to automate routine data tasks and reporting
- Start analysing fieldwork trends and sharing initial observations with the Product team
- Shadow Yusri to develop familiarity with respondent support escalations
3rd Month
- Take full ownership of fieldwork for survey projects
- Take full ownership of running feasibility studies
- Independently manage panel vendor negotiations for assigned projects
- Deliver regular fieldwork trend reports with actionable insights for the Product team
- You will be the primary point of contact for all things panel ops
- Independently provide L2 respondent support
